The Yakima Memory Project: The Database

For the purposes of this project, the Yakima Memory Project uses 8 mandatory elements for describing digitized resources, all indicated below by a "•". These eight elements must be included in the description of each digital resource.

Yakima Valley Museum accession numbers are assigned to all items accessioned into the Yakima Valley Museum. This numbering system consists of three numbers separated by periods, i.e. 2001.002.005. For many of the images in the Yakima Valley Museum collection no accession number has ever been assigned, so an accession number in the 800's will be assigned. As an example, 2001.800.044. Accession numbers must always be entered as 4-3-3 (Four numbers, period, three numbers, period, three numbers). New accession numbers have also been assigned to the Relander collections.

Many photographs and other objects contain identification numbers from previous numbering systems. Old identifiers are recorded here in the event that they may need to be cross-referenced.
Subject Subject 600, 610, 611, 630, 650, 653 Yes

The main topic of the subject matter content of the resource. Typically, subject will be expressed as keywords or a phrase that describes the main subject of the content of the resource, or terms related to significant associations of people, places, and events, or other contextual information.

This subject heading is primarily used as a physical location of the image in a file cabinet. First, a review was made of the current filing systems at both the Yakima Valley Museum and Yakima Valley Regional Library. The two lists were compared against established thesauruses such as the Library of Congress Subject Headings (LCSH) and the Thesaurus for Graphic Materials (LC). As a result, many subject headings in the current file system were change, and images relocated into new file folders as they are processed, based on the new subject headings.

This is an identifiable title given to the image, and is usually a short caption. If the image is titled by the photographer, this title is used.

Photographer or photography studio primarily responsible for creating the image.

A list of photographers in the Yakima Valley was researched, and photographers were listed with a date range indicating the years they were in business. This list was established as the first controlled vocabulary. Additional photographers have been added as the images are processed.

Images are often identified as created by an organization. Since the photographer has not been identified, the photographer field is left blank. The organization is identified in the description field.

A textual description of the content of the image. Descriptive text, remarks, and comments are included about the object. Also, additional text that may help for better search results. This information can be taken from the item, or provided by the record creator. Enter here specialized information not included in other fields such as the history of the work.

Date of creation of the image. This field may include text or other identification such as c (circa). This field is not searchable, but is displayed to the end user, rather than the Date field.

Date of creation of the image. This field may not include text, but can only be input in a date format. Search this field by date or date range.
Provenance Coverage 651, 752 No
Describes the spatial or temporal characteristics of the intellectual content of the resource. Spatial or geographical coverage refers to the location(s) or physical region(s) covered by the intellectual content of the resource. Temporal coverage refers to what the resource is about, not when it was created or made available in digital form. Temporal coverage is most often expressed as a time period, such as Ming Dynasty.

Format and substance of the image from which the digitized image was made. Medium may include negative, photograph, slide., etc
Hue     Yes
Color of the photograph. This color is also a term for a type of photograph. Black and white, color, cyanotype, sepia print, etc.
Accession Date     No
Date the item was accessioned into a collection. Accession numbers with the second set of numbers in the 800 range indicate the date the image was prepared for this project. Must be in date format.
Donor   534|n No
Source from which the original image was obtained. The accession record identifies the original donor. For internal use only.
Height      
Facing the original image, this is the physical height in inches, from bottom to top. For negatives, film size is used.
Width      
Facing the original image, this is the physical width in inches, from the left to right.
Facility     Yes
The institution to which the image belongs and where it is stored.
Collection     Yes
Images belonging to a particular identified collection within an institution. A collection may be identified because of the specific terms of the donation and special usage rights may be retained.
Location       Yes
The physical location of the image within the facility. Identified by cabinet, drawer, etc. May be combined with Accession number to identify location.
Subject Headings     Yes
This field contains applicable vocabulary from the Library of Congress Thesaurus for Graphical Materials.
